The Best Tools for Virtual Assistants

If you want to thrive as a Virtual Assistant, you need the right tools because let’s be real, you can’t just rely on sticky notes and memory power. Clients expect efficiency, and that means using smart software to stay on top of everything.
Here’s your 2025 VA toolkit. Tried, tested, and not obsolete (looking at you, Skype).
- Communication & Client Management
- Slack. Keep client conversations organized and ditch endless email chains.
- Zoom & Google Meet. Because “Can you hear me?” is practically a VA anthem.
- Dialpad. A better alternative to Skype for calls, voicemail, and messaging.
- Grammarly. To save yourself from embarrassing typos (trust me, clients notice!).
💡 Pro Tip: Set up email templates in Gmail or Outlook for faster responses. Some clients love quick and straightforward replies!
- Project & Task Management
- ClickUp. A powerhouse tool for organizing tasks, deadlines, and workflows.
- Trello. Drag, drop, and visually manage projects (great for beginners!). Oh, you’ll love those kanban boards!
- Asana. Perfect for tracking projects and collaborating with teams.
- Notion. My personal favorite! All-in-one tool for note-taking, planning, and even building your own workspace.
💡 Pro Tip: Master one of these tools and offer it as a service. Many clients need help setting up their workflows!
- File Storage & Sharing
- Google Drive. Store, share, and edit files seamlessly.
- Dropbox. Another solid option for file storage and easy team access.
- WeTransfer. Quick file sharing for large documents, images, and videos.
💡 Pro Tip: Keep everything organized in folders labeled by client or project. No one wants to dig through “FinalVersion(2)RealFINAL.docx.”
- Time Tracking & Productivity
- Clockify. Tracks time and generates reports for hourly clients.
- Toggl Track. A super user-friendly tool for tracking billable hours.
- RescueTime. Helps you analyze where your time is going (spoiler: TikTok might be the culprit!).
💡 Pro Tip: Use these to prove your efficiency and bill clients accurately without working for free.
- Financial & Payment Tools
- Wise & Payoneer. Best for international payments with lower fees than PayPal.
- PayPal. Still a go-to for many clients, but beware of those fees!
I lost nearly $2,000 in fees back in 2023—ouch! 😬 Read my experience here
- FreshBooks. For invoicing, bookkeeping, and getting paid on time.
- Wave. A free alternative for small business accounting.
💡 Pro Tip: Set up automated invoices to avoid chasing clients for payments. Your time is money!
- Social Media & Content Creation
- Canva. A must-have for creating social media posts, graphics, and presentations.
- Meta Business Suite. Schedule and manage Facebook & Instagram like a pro.
- ChatGPT & Jasper AI. AI-powered tools to help with content writing and brainstorming.
- CapCut & Descript. Simple yet powerful video editing tools for VA content creators.
💡 Pro Tip: Offer social media content as a VA service. It’s one of the hottest in-demand skills!
The tools won’t work unless YOU DO!
Having all these tools won’t magically make you productive (if only!). Pick the ones that fit your work style, master them, and let them help you work smarter, not harder.
And if you’re still taking notes with pen and paper… well, at least scan them into Google Drive! 😆
